Careberry 2025: Innovation That Puts Real Care First

Every year, as we approach the new year, I reflect on one important question: Did we make care easier for those who deliver it and safer for those who receive it?

At Careberry, our mission has always been straightforward - using technology to alleviate the daily challenges faced by care teams. We aim to address the frustration, paperwork, constant duplication of effort, and the stress of not having the right information at the right time.

In 2025, we committed even more deeply to this purpose.

Thanks to the honest and sometimes blunt feedback we receive every day, our team spent this year implementing improvements that genuinely transform how care is delivered. We're not just making promises of future innovation; we are delivering practical solutions that save time, reduce errors, eliminate unnecessary systems, and give managers, business owners, and carers a bit of breathing room.

Here’s a look at what we achieved together.

Billing & Finance - More Control, Fewer Headaches

Billing is one of the most challenging yet essential aspects of running a care service. We have revamped key areas to provide clarity, accuracy, and flexibility. Here are some key improvements I’m proud to highlight:

1. Properly managed businesses aim to operate efficiently, treat their staff fairly, and avoid unnecessary issues with HMRC. This is why we developed the "Waiting Time Payments" solution. It eliminates the need for additional spreadsheets while ensuring compliance with HMRC regulations.

2. Many care providers offer specialised services, such as live-in care and visits to day care centres. Billing for these types of services differs from standard hourly rates. To streamline this process, we have enabled automatic generation of invoices for these services, saving time and reducing complications that could potentially lead to cash flow issues.

3.  Some providers charge a fee for cancelled visits. For example, 25% of standard hourly rate. This solution was created to address that issue.

4. We have made it easy to handle recurring expenses and manage them effortlessly within the billing cycle. This saves time and avoids complications at the end of each pay cycle and billing period.

These changes mean fewer disputes, reduced calculations, fewer mistakes and a more confident month-end experience.

Smarter Rostering, Staff Management & Workforce Tools

We refined the engine that powers our daily operations by creating the following solutions:

  • Staff Max Hours Performance - real-time visibility of limits.
  • Annual Leave – made it cleaner, faster, error-proofed.
  • Rota Read Receipts - know exactly who has seen their rota and eliminate the blame game that “I was not informed about my rota”.
  • Working Pattern & Unavailability Updates - more accurate scheduling.
  • Dynamic Suspension Types - more control and transparency around when a member of staff is suspended, or a client’s service is paused temporarily.
  • Visit Time Locking - preventing last-minute chaos and ensuring compliance.
  • Staff Retention Chart - real insights, not guesswork.

This is the kind of innovation people feel every day - the type that keeps services running smoothly and safely.

Care Delivery, Compliance & Clinical Enhancements

Updates and solutions implemented in this area have enabled Careberry to become the most comprehensive care management platform in the sector.

  • Report  Hub V2 – The new version of our custom-built data analytics hub is faster, clearer, and designed around real-world audits.
  • Dynamic Cancellation & Suspend Types - giving services flexibility in how they manage risk.
  • Care Home Updates - taking our care home version to the next level by being among the top for offering rostering alongside other tools for care homes. Most established care home systems either do not offer rostering or have embedded third-party rostering, making it difficult to manage.
  • Medication Levels - more intelligent handling of MAR-related information by enabling care providers to set the level of medication support in line with regulatory requirements or their internal protocols. For example, prompting medicines, providing physical assistance, and administering medicines can now be set according to the care providers' medication policy.
  • Day Care Support - dedicated functionality to enable care providers to plan day care visits within their daily plans and enable staff to know that a specific visit is planned to go, take a client out and bring them back home. The system would handle all administrative tasks, including mileage calculations and enable staff to write reports accordingly.
  • Compatibility & Stability Enhancements – It is crucial to ensure consistent care by assigning suitable members of care teams to those in need. Therefore, Careberry has enhanced its compatibility features within our rostering system.
  • Task Management – Managing workflows can be challenging. We have made it possible to automate task management, whether for a client or a team member. This enhancement enables seamless monitoring of staff recruitment progress through a visual system, as well as tracking client assessments  and onboarding. Immediately after the release, we received a lot of positive feedback, including an email stating, “We absolutely love the task management.” Another provider mentioned that it gives a helicopter view of what is going on and makes accountability easier to implement.

This is the side of Careberry that supports safer care, better reporting and smoother inspections.

Travel, Routes & Time-Saving Automation

Travel is one of the biggest hidden costs in community care and can make the service extremely inefficient and difficult to run. This year, we made major updates to create substantial efficiency:

  • Travel Optimisation Choices - giving providers control over routing logic.
  • Draft Travel - plan before confirming and view the mileage and cost of your travel. This enables people to optimise their travel and make it more efficient.

These changes cut fuel, time and frustration, especially for large community teams. We have seen companies achieve substantial savings intravel costs through our travel management services.

Mobile & UI Improvements - Better for Carers, Better for Everyone

Recognising the importance of an intuitive, user-friendly device, 2025 marked a significant year of refinement.

  • Mobile UI Updates - clearer workflows, faster navigation, cleaner screens.
  • Booking UI Updates - Less clutter leads to more clarity. Additionally, we are on the brink of a significant release that will elevate our scheduling module to a new level.
  • Border Colours for Service Types - instant visual recognition on calendars to enable care coordinators to manage rota on the go more easily and quickly.
  • Geo-Fence Clock-In & Clock-Out - safer, smarter, and more accountable.
  • Offline Mode – there are lots of rural areas across the UK with poor signals.  We always try to balance security and data protection with making it easier for people to manage care. As a result, more areas of our mobile app for community carers are now accessible offline. For example, seeing  medicines and marking them off is now available offline.

The goal was simple: Make Careberry feel lighter, faster and more intuitive for the people using it every day. And the feedback has been incredible.

Security & Infrastructure: The Quiet Difference

Some of the most important work we did this year is invisible - because it's about making Careberry even safer, faster and more future-proof. However, some are visible as follows:

  • Permission Phase 2 - fine-grained control to support larger organisations.
  • New Permissions for Staff Profiles - more flexibility without compromising safety.
  • Single Sign On – enable those who are on the Microsoft Ecosystem to log in using their own Microsoft credentials.
  • Passkeys - Passkey is something that is not available in many industries. It takes security to the next level, making issues such as phishing impossible. We are proud to be leading the way in care management by bringing Passkeys.

Care services should not have to worry about infrastructure, and they won't have to.

GP Connect - Finally, a Seamless Link to the NHS

We recognise the importance of providing care providers with access to medical information about their clients. Having this information enables them to deliver better and safer care. That's why we collaborated with the NHS to introduce GP Connect, which enables care providers to securely access GP records with appropriate permissions. No more chasing down surgeries, no more delays, and no more uncertainty. This is true interoperability and exactly the kind of service the sector urgently needs.

AI-Empowered Features

It's essential that we discuss our improvements over the past year, particularly in AI. We were one of the early adopters of AI in our work, and it has played a significant role in most of our advancements. We have laid the groundwork to incorporate more AI-powered solutions in 2026.

In addition to this foundation, we have released two beta versions of new features. The Notes Summary feature saves substantial hours of work by highlighting areas of concern in care notes. Furthermore, Careberry's AI Help guides users on any part of the system where they may need assistance.

Why This Matters

Software platforms are like living organisms; they require care, attention, and ongoing updates. Without these, they risk becoming obsolete.

By consistently enhancing Careberry, we've enabled Providers who once managed over seven systems to streamline their workflow into one platform. Teams that previously spent their evenings on administrative tasks can now leave work on time. Managers who relied heavily on spreadsheets are experiencing clarity and confidence in their operations. This isn’t just innovation; it’s a much-needed relief. And there’s even more to come.
