The Challenge
Working in the fast-paced domiciliary care sector, staff often faced challenges with the complexities of Care Plus, spending a lot of time on the phone to report issues like login problems and recording daily activities. This quickly became an administrative headache. Management also found themselves spending excessive time uploading daily reports, body maps and other documents because staff couldn’t log into the system. Families also expressed concern as they were unable to access the app, or in cases where they did, they couldn’t navigate it effectively. It became clear that Care Plus was not a good fit for our organisation. We needed a robust, auditable medication and care plan management system that met CQC standards without adding administrative burden or frustration for care staff, families or management. We identified that we needed a system that could support realtime communication between staff, families and administrators, cutting down the reliance on phone calls and emails. Acquiring such a system would allow our support staff to focus on their core role of assisting people and managers on the delivery of support services to frontline staff.
The Careberry Solution
The streamlined workflow let staff log reports and administer medication in the same app, cutting documentation time per visit from 15 minutes to under 5, giving them more time with the people they support. The Careberry App also made it easy to upload photos and videos, which families loved for seeing activities or meals their loved ones enjoyed. Families valued alerts from the
“Depart” function when staff were on the way. Staff couldn’t end a visit without marking medication and actions, ensuring tasks were always completed according to care plans. Push notifications alerted administrators to delays in starting or ending shifts, letting management prepare contingencies as needed. From a health and safety perspective, it enabled discreet safe-and-well checks on the staffing team. Families could send requests, cancellations, and concerns through the communications section, and review the support provided to loved ones, helping improve organisational performance management. Rota management was streamlined so staff knew their runs. Integrated analytics tracked KPIs like missed or late visits, monthly hours delivered, invoices, and accident or incident trends, helping management refine service models and demonstrate compliance during inspections. Financially, Careberry cut licensing costs while boosting efficiency.
"As I live far away, checking the app helps me know what Dad has eaten or if he has had his medication. This has taken the worry away."
The Results
The successful migration from a fragmented, nursing home-focused care management platform to the bespoke Careberry system has elevated our support staff, boosted family engagement, and improved operational efficiency. With real-time alerts, the system ensures we meet the five CQC outcomes: safe, caring, effective, responsive, and well-led. It allows our team to deliver a person-centred touch that sets us apart from other domiciliary care organisations, thanks to reduced administrative time for record-keeping. The option to add photos and videos also enables us to provide person-centred evidence, helping staff replicate care approaches by reviewing previous notes.
