From Paperwork to Partnership: How Careberry Transformed EMCAS Lincolnshire

EMCAS Care Group Ltd

The Challenge

Before implementing Careberry, we were managing many of our processes across multiple systems, with a significant amount of paper documentation. As a growing domiciliary care provider, this created challenges around scheduling, communication, medication management, compliance monitoring and quality assurance. Keeping office staff and carers updated in real time could be difficult, particularly when changes occurred throughout the day. Monitoring care delivery, auditing records and ensuring consistency across a growing workforce required considerable administrative time. Medication administration and compliance monitoring were more labour intensive, and processing invoices involved a significant amount of manual work. As our organisation continued to grow, it became clear that we needed one integrated system that could support operational efficiency whilst maintaining the highest standards of care, governance and compliance.

The Careberry Solution

Careberry has completely transformed the way we manage our service and has become the backbone of our day-to-day operations. Having scheduling, care planning, medication management, electronic care records, communication, reporting and governance all within one platform has made a huge difference to the way we work. The system is intuitive, reliable and allows us to manage our organisation far more efficiently. One of the features we value most is the flexibility Careberry provides. Rather than expecting providers to adapt their processes to fit the software, Careberry enables us to tailor the system around the way our organisation operates. The ability to design and build our own bespoke forms has been invaluable. We have created electronic forms for falls response, incident management, audits, governance, spot checks, competency assessments, quality assurance processes and many other operational requirements. This flexibility allows us to continually improve our service without relying on paper documentation or external systems. Careberry has also enabled us to become a completely paperless organisation. From care plans and medication records to audits, governance documentation, incident reporting and bespoke forms, everything is completed electronically within one secure platform. This means our staff have instant access to accurate, up-to-date information wherever they are working, whilst managers can monitor compliance and quality in real time. What truly makes Careberry stand out, however, is the relationship we have built with their team. We have regular meetings with Careberry to discuss how our service is developing, the challenges we face as a provider and ways in which technology can help us continue improving the care we deliver. Hossein and his team genuinely listen to our feedback and take the time to understand how we operate as a domiciliary care provider. Rather than expecting us to change the way we work, they actively look at how Careberry can work for us. Their willingness to listen, develop new functionality and continually improve the platform has made them feel like an extension of our own team rather than simply a software provider. Whenever we identify opportunities to improve efficiency, strengthen governance or enhance the quality of care we provide, Careberry are always willing to discuss our ideas and work collaboratively to develop solutions. They don't simply acknowledge feedback, they take the time to understand why a change would benefit care providers and then explore practical ways of improving the functionality of the system. A great example of this is a feature we are currently discussing with the Careberry team. We have suggested introducing configurable drop-down options within Service Actions to reduce the amount of repetitive typing carers need to complete in their service reports. This would allow carers to complete their records more efficiently, giving them more time to spend with the people they support rather than on administration. Knowing that Careberry is willing to explore ideas like this demonstrates their commitment to continually improving the platform for providers and, ultimately, improving outcomes for clients. Some of the features that have made the biggest difference include: Electronic care planning with live updates. eMAR and medication management. Real-time communication between the office and carers. Live monitoring of care visits. Comprehensive reporting and auditing tools. Simplified invoicing and administration. The ability to create bespoke forms tailored to our own operational processes. A completely paperless way of working. Continuous development of the platform based on customer feedback. A support team that genuinely works in partnership with providers.
"We would have no hesitation in recommending Careberry to any care provider looking for a system that is innovative, flexible and backed by a team who genuinely care about helping providers deliver outstanding care."

The Results

The impact Careberry has had on our organisation has been significant. Administrative tasks that previously took hours can now often be completed in minutes. Invoice processing alone has resulted in substantial time savings, allowing our office staff to spend more time supporting clients and carers rather than completing paperwork. Our compliance monitoring has improved considerably because managers have access to live information and reporting, enabling us to identify issues quickly, monitor trends and respond proactively. Communication between the office and carers is faster, clearer and more effective, ensuring important information is shared promptly and reducing the risk of missed updates. The flexibility to create our own bespoke forms has strengthened our governance and quality assurance processes. We are able to develop new documentation as our service grows without relying on additional software or paper-based systems, ensuring consistency across the organisation. One of our biggest achievements has been becoming a completely paperless organisation. This has significantly reduced printing and storage costs, eliminated duplicated paperwork and ensured that staff always have access to the latest information wherever they are working. Another major benefit is knowing that Careberry continues to evolve alongside our organisation. We know that when we identify opportunities to improve efficiency or enhance the care we deliver, we have a software provider that genuinely listens and works collaboratively with us to develop solutions. This gives us confidence that the platform will continue to grow alongside our service and support the changing needs of both our staff and the people we care for. As our organisation has continued to grow, Careberry has grown with us, supporting increasing numbers of clients, carers and services without compromising quality, efficiency or compliance. Most importantly, Careberry has enabled us to spend less time on administration and more time focusing on what really matters, delivering safe, effective and person-centred care.
