How Careberry Helped Oxford House Community Care Sail Through a Full Council Inspection

Oxford House

The Challenge

Oxford House Community Care manages a busy homecare service across Slough and Windsor & Maidenhead, working with several funding streams and a diverse workforce. With a full council inspection approaching, the team needed to demonstrate compliance across every area, from recruitment and training to medication, safeguarding and care planning. Producing accurate, up-to-date evidence quickly was essential.

The Careberry Solution

Careberry gave Oxford House Community Care one reliable, centralised system for managing and accessing its essential compliance records. During the inspection, the team could instantly present staff files, DBS checks, right-to-work documents, training records, supervisions and quarterly spot checks, all complete with the required dates and sign-offs. Care plans, risk assessments, medication records, complaints, safeguarding information and incident logs were also readily available without staff having to search through paper files or multiple systems. The platform also allowed medication records to be reviewed in real time, helping the team identify and address potential issues immediately rather than waiting for a monthly audit. Weekly rotas were issued electronically, with changes and cancellations sent directly to carers through the app. Staff could also access the latest company policies within Careberry, ensuring everyone had the information they needed. This gave Oxford House a consistent and dependable source of truth across every area examined during the inspection.

The Results

Oxford House achieved 100% compliance in nine out of the ten areas assessed, including training, policies and procedures, care plans and risk assessments, medication, safeguarding, quality assurance and customer feedback. Recruitment and staffing achieved 94%, with the only shortfall caused by a single outstanding staff signature rather than an issue with the quality of care being delivered. The inspector reviewed nine days of medication records and identified zero issues, while staff were able to produce the requested evidence quickly throughout the visit. The Registered Manager’s professionalism was specifically praised, and the inspection was described as a “smooth and well-managed” process. With Careberry supporting its daily operations, Oxford House could confidently demonstrate that its records were accurate, accessible and audit-ready in real time.
